Conference Entry and Badge Printing
Access to the conference center will be granted exclusively upon presentation of your badge. To ensure a smooth entry, please print your badge in advance. The badge file can be downloaded from your account page. You can edit your personal information, especially your affiliation, to ensure it appears as desired on your badge.
Once inside the conference center, you can collect your participant kit at the registration desk.
If your registration is not up to date, a member of the organizing team will assist you with the necessary procedures.
Cloakroom and Luggage Storage
Please note that no cloakroom service will be available at the conference center. We recommend leaving your luggage at your hotel before arriving.
If necessary, you may leave your belongings at the venue, but this will be at your own risk, as no security guarantee can be provided. However, please be aware that entry to the conference center is controlled.
Identifying the Organizing Team
To help you easily recognize the members of the organizing team:
- Student Volunteers will be wearing a yellow lanyard. They are available to assist you throughout the event.
- Local Staff Members, who can help with questions related to the program, registration, social events, and your stay, will be wearing a blue lanyard.
Feel free to approach them if you need any assistance.
Wi-Fi Access
A Wi-Fi network will be available throughout the conference center. Connection details will be posted on-site for easy access.
Join the IEEE VR 2025 Discord Server
To facilitate communication throughout the conference, we have set up a Discord server where you can discuss scientific topics, practical matters, and social events.
You can join the server using the link you have received in the email related to the practical information.
Once on the server, go to #registration and use the /register command in the message bar. Provide your confirmation number and send the message. The Registration Bot will verify your confirmation number and automatically grant you access to the server.

Please note that access to the Chateaubriand Auditorium, where all plenary sessions will take place, is available from multiple floors within the conference center.

Conference Program
All details about the conference program, including session schedules, keynote speakers, and special events, are available on the IEEE VR 2025 website.
Coffee Breaks & Refreshments
On Saturday and Sunday, coffee breaks will take place in Rotonde Jacques Cartier (Level 1) and Rotonde Cézembre (Level 3).
During the main conference, breaks will be held across the three levels of the venue.
A complimentary coffee break will be provided at midday (13:15-14:00).
Reusable EcoCups will be available at water fountains throughout the conference center.
Please try to return the cups near the fountains to help with waste management.
Social Events

Gala Dinner
The Gala Dinner will take place on Tuesday evening at Quai-Saint-Malo, located just across from the main exit of the conference center. The doors for dinner will open at 7:30 PM, but reception will begin at 7:00 PM. Feel free to arrive early!
To access the venue, you must have indicated your attendance during registration. To enter the gala dinner, you will need to present your badge. Don't forget it! Please note that if you have purchased additional tickets for your guests, this will be indicated on your badge.
A dedicated Gala Dinner Desk will be available starting Monday afternoon for:
- Canceling your attendance,
- Requesting to join via the waiting list, subject to availability.
A cloakroom will be available during the dinner.
If you specified a dietary requirement during registration, you will receive a marker to place on your glass to facilitate service. Please make sure to identify yourself at the entrance. Please note that two menus will be offered during the gala dinner: a classic menu and a specially curated menu by the caterer, adapted for gluten-free, peanut-free, vegetarian, and vegan diets. All guests who have indicated dietary restrictions will be served this second menu.
T-Shirt Pick-Up
Participants who pre-ordered the official IEEE VR 2025 T-shirt or hoodie before February 16 are invited to collect their items starting from the morning break, at the T-Shirt Corner, located near the registration desk. Please make sure to bring your confirmation email or order receipt for verification.
Mont Saint-Michel Tour
For participants who have reserved the Mont Saint-Michel tour on Thursday, March 13, after the conference, a dedicated desk will be set up starting Monday afternoon for you to collect your passes. Remember to bring your badge and walking shoes. Additional information can be found here. Please make sure to arrive on time on Thursday morning (departure at 9:00 AM).
